Hairway Medical ("we", "our", "us") is a travel and medical tourism coordination agency registered and operating in Istanbul, Turkey. We design, market, and sell all-inclusive packages that combine hair transplant surgery with complementary travel services, enabling international patients to access world-class care at competitive prices.
By accessing our website, contacting us, or completing a booking, you ("the Client") agree to be bound by these Terms of Service in their entirety. If you do not agree, please refrain from using our services.
Hairway Medical acts exclusively as an intermediary agent and coordinator. We do not directly provide medical procedures, accommodation, transportation, or tour services. Instead, we curate and package these services by contracting with a network of established third-party service providers ("Supplier Partners"), which include but are not limited to:
Our role is to negotiate favourable terms with these Supplier Partners, bundle their services into cohesive packages, and present them to Clients at an all-inclusive price. By accepting these Terms, you acknowledge and agree that Hairway Medical does not own, operate, or employ the entities that deliver the individual services described above.
All bookings are confirmed in writing via email or WhatsApp upon receipt of the required deposit as stated in your package offer. Full payment is due no later than 7 days prior to your scheduled travel date unless otherwise agreed in writing. Prices are quoted in USD or EUR and are subject to change prior to written booking confirmation. Once a booking is confirmed in writing, the agreed price is fixed.
Hairway Medical reserves the right to cancel an unconfirmed booking in the event that payment is not received within the agreed timeframe. In such cases, any held capacity with Supplier Partners will be released and no refund obligation arises.
Hair transplant surgery is a medical procedure. Results vary between individuals and are influenced by factors including hair type, scalp condition, donor density, age, and post-operative care compliance. Hairway Medical makes no guarantee of specific surgical outcomes, graft survival rates, or aesthetic results.
Prior to your procedure, the attending clinic will conduct an independent medical consultation and will require your informed consent. It is your responsibility to disclose all relevant medical history, current medications, and pre-existing conditions to the surgical team. Hairway Medical bears no liability for complications arising from undisclosed medical information.
Clients are advised to consult their own physician before travelling for a medical procedure and to ensure they are fit for surgery and travel.
Hairway Medical will use all reasonable commercial efforts to ensure that our Supplier Partners deliver services to a high standard. In the event that a Client experiences a problem or dissatisfaction with any element of their package — whether relating to a medical outcome, accommodation quality, transportation, or any other component — Clients are requested to notify Hairway Medical immediately so that we may intervene and seek a resolution on their behalf.
We are committed to supporting our Clients in dispute resolution and will liaise proactively with the relevant Supplier Partner to address legitimate concerns. However, where a complaint escalates beyond our ability to resolve at the coordination level, the Client acknowledges that the contractual and legal relationship for the delivery of that specific service exists directly between the Client and the Supplier Partner concerned. In such cases, the Client may need to pursue the matter directly with the Supplier Partner, including through applicable legal channels in the jurisdiction of that provider.
Hairway Medical's liability to the Client shall not exceed the total amount paid to us for the coordination and packaging of services. We are not liable for any indirect, consequential, or special damages arising from a Supplier Partner's failure to perform.
Cancellation requests must be submitted in writing to [email protected]. The following cancellation policy applies:
Hairway Medical reserves the right to cancel or reschedule a booking in circumstances beyond our reasonable control, including but not limited to natural disasters, government travel restrictions, or the unexpected unavailability of a Supplier Partner. In such cases, we will offer the Client an alternative date or, where rescheduling is not possible, a full refund of amounts paid to us.
Please note that any costs incurred by the Client independently — including but not limited to flights, personal insurance, and visa fees — are the sole responsibility of the Client and are not covered by our cancellation policy.
Hairway Medical strongly recommends that all Clients purchase comprehensive travel and medical insurance prior to travel. This insurance should cover, at a minimum, medical emergencies, trip cancellation, and repatriation. Hairway Medical is not liable for costs arising from the Client's failure to obtain adequate insurance coverage.
Clients are responsible for ensuring that they hold a valid passport and any required visa to enter the Republic of Turkey for the duration of their stay. Clients must comply with all pre-operative and post-operative instructions provided by the treating clinic. Failure to follow medical guidance may affect outcomes and may void any aftercare support obligations. Clients must arrive at agreed transfer pick-up locations punctually; delays that result in missed transfers are the Client's responsibility.
Hairway Medical collects and processes personal data — including health-related information — solely for the purposes of booking coordination and delivery of services. We do not sell personal data to third parties. Personal data may be shared with Supplier Partners to the extent necessary to fulfil your booking. By proceeding with a booking, you consent to this processing. You may request access to, correction of, or deletion of your personal data at any time by contacting us at [email protected].
All content on the Hairway Medical website — including text, images, graphics, and branding — is the exclusive property of Hairway Medical and may not be reproduced, distributed, or used without prior written consent.
Hairway Medical reserves the right to update these Terms of Service at any time. The version in force at the time of your booking confirmation shall govern your agreement with us. Continued use of our website following any update constitutes acceptance of the revised terms.
These Terms of Service shall be governed by and construed in accordance with the laws of the Republic of Turkey. Any disputes arising from or in connection with these Terms that cannot be resolved amicably shall be subject to the exclusive jurisdiction of the courts of Istanbul, Turkey.
